Edward Jones Privacy Notice Applicant Personal Information Processing Notice

Just as Edward Jones strives to protect the privacy of our clients and associates, we recognise the need to protect personal information about our applicants. This page explains the categories of personal information we collect about online applicants, why we collect that information, and to whom that information may be disclosed.

What Personal Information Do We Collect?
Edward Jones collects information about who you are, including your name, national insurance number, gender, marital status, date and place of birth, nationality, citizenship, and contact information at home and at work. We may also collect information about your experience, education, and qualifications for employment at Edward Jones, including information provided by previous employers and other references or gathered in the course of conducting a background check.

Edward Jones does not collect personal information about you from third parties or other sources unless the collection is justified by the nature of the particular job to be filled and is proportionate to the potential risks to us by not having the information. For example, to protect our clients, Edward Jones performs various background screens before making any hiring decisions.

Edward Jones may check your references, collect personal information about you from a third party or outside source, and/or verify personal information you provide to us. By providing the names of your references and their contact information, and by submitting your application, you are consenting to the use and disclosure of your personal information in this manner.

Edward Jones limits its collection and use of sensitive personal data. For example, we do not collect information about your membership in unions, and, while we collect information about your ethnic background, it is used exclusively to measure the success of the Edward Jones inclusion program and to fulfill our equal opportunity monitoring obligations. We do, however, process personal data, including sensitive personal data when required by law, as necessary for an equal opportunity program, because of the nature of a particular job, to administer an employee benefit plan, to fulfill the terms of your employment contract with us or a contract between us and a third party for your benefit, for legal matters, or to respond to an emergency.

Where the law limits our ability to consider information about criminal convictions, we will inform you of these limitations before collecting information and will delete information in our records as required.

We may conduct drug and alcohol testing only where the testing is necessary and proportionate to achieve a specific business purpose and only in accordance with the law.

Why Do We Collect Your Personal Information?
Edward Jones limits the collection and processing of personal information to that which is fair, lawful, relevant to, and not excessive for, the purposes of:

  • Operating and planning for the operations of our business
  • Making recruitment and/or employment decisions
  • Fulfilling our obligations as an employer
  • Establishing, asserting, or defending our legal rights
  • Preventing or detecting unlawful activities
  • Complying with law, regulation, or valid legal process
  • Achieving other important employment related purposes (e.g., equal opportunities monitoring)

Who Has Access to Your Personal Information and Where is it Processed?
In appropriate circumstances, we may disclose your personal information to accomplish the goals described above. Edward Jones personnel are authorised to access your personal data only as necessary to perform their respective functions. Edward Jones discloses relevant personal information to contractors and service providers that perform information processing, résumé scanning, and other services on our behalf. These vendors and contractors are contractually obligated to protect your personal information.

We process your personal information from the references you supply, third parties, and/or other sources only for the purpose of making employment related decisions. You will generally have an opportunity to explain discrepancies between the personal information that you supply to us and information that a third party supplies about you (if it is possible to do so without compromising the privacy of the third party.)

If automated processing is used as the sole basis for selecting, short-listing, or rejecting you, or otherwise making an employment decision directly effecting you, we will explain the logic of this processing and will allow you to provide additional relevant information before we reach a final decision.

Most Edward Jones human resources functions, including the processing of payroll, commissions, and benefits, are centralised in the United States. As a result, your personal information may be transferred to that country for processing, under terms and conditions designed to provide adequate protection for the data. We may also transfer your personal information internationally when necessary to conclude a contract between Edward Jones and a third party on your behalf or in your interest; to obtain legal advice or to establish, exercise, or defend our legal rights; to protect your vital interests; as required by law and regulation; or for reasons of substantial public interest.

Protecting Your Personal Information
Edward Jones has implemented an information security program that includes physical, technical, and organisational measures. This program is designed to help protect your personal information from unauthorised access, unlawful processing, and accidental loss, destruction, or alteration. Please understand, however, that even the best information security programs cannot provide a guarantee against these risks.
